Frequently Asked Questions

What do I need to do to reserve exhibit space?
Complete the Application completely with your booth selections and send it with a $500 deposit per 10 x 10.

How is exhibit space assigned?

  • “Right of first refusal” (All 2006 Exhibitors have the right to occupy the same space in 2007 providing their Exhibit Space Application and Deposit are received at HBAM on or before May 1, 2006.)

  • Date of receipt of the Application/Contract & Deposit at HBAM

  • Space size and availability

  • HBAM reserves the right to assign exhibitors out of priority point sequence if, in its sole discretion, it deems it necessary for the betterment of the Show.
    After July 1, 2006, exhibit space will be assigned on the basis of:

  • Date of receipt of the Application/Contract & Deposit at HBAM

  • Space size and availability

What comes with my booth?

  • 3 foot high side drape and 8 foot high back drape.

  • (1) draped 6 foot table

  • 7” x 44” identification sign

  • (1) waste basket

  • 500 watts of electricity. (1) Receptacle Additional electricity must be ordered through electrical provider. Must provide own extension cords and power strips

  • Please note carpet is not provided, and may be purchased/rented at an additional charge

What happens if my booth selections are not available?
HBAM staff will call you to give you alternative choices.

Is my deposit refundable?
Yes, your deposit, is refundable as long as the HBAM Exposition Area receives a written cancellation notice prior to September 30, 2006. After this date, there are no refunds whatsoever for any reason.

When is my balance due?
The balance is due date will be printed on the monthly invoice that is sent to you. The balance is due December 31, 2006.

How many free exhibitors badges do I get?
Each exhibitor is given 2 free exhibitor registration per 10’ x 10’ booth space. Exhibitor must register in exhibitor-only online registration.

What happens after I use all my free exhibitor registrations?
Exhibitors can register additional booth staff for a fee. Exhibitor tickets are $42 per in advance. Discounts are available if you purchase 20 or more tickets at the rate of $30 per ticket.

What does occupying the Full Cubic Content of my space mean?
Every exhibitor has the right to occupy the complete square foot of the contracted exhibit space. If you are in an in-line booth, you are required to provide a finished back wall and finished side-walls to a minimum of 8 feet high and that extend all the way to the aisle. If your booth structure does not satisfy this requirement, you are responsible for insuring that any unfinished or unsightly walls of your neighbors booth is properly finished.

General Information

How do I get listed in the Show Directory?
Your company name and booth number will be included in the official Show Directory if you submit your application & deposit by February 10, 2007 .

Are exhibitor badges mailed?
YES! Exhibitor badges will be mailed upon registering on line.

When will I get my Exhibitor Service Kit?
The Exhibitor Service Kit will be available online beginning January 2007 . Hard copies will only be available by request to paid exhibitors. Exhibitors must submit a request for the paper version of the Service Kit using the Request for Paper Forms order form.

Can I set up my own booth?
Yes. Builder Mart provides fork lift service and complementary drayage. The hanging of banners or moving large quantities of equipment may be an additional charge.

Can I hang or attach booth equipment, signs, lighting, etc. from the ceiling?
Yes. The ceiling in the Cow Palace is not a consistent height. If you have a question about the ceiling height as it relates to your booth, please call the show managers at (410) 265-7400 x112. At its highest point it is 16 feet.

What equipment is required for my booth?
All exhibitors are encouraged to have some form of floor covering. Carpet is available through the Exhibitor Service Kit. Any unfinished booths above the drape line must be finished. If you have a pole located in your booth – we highly recommend covering it with something reasonably attractive.
